JOB SUMMARY
Responsible for providing professional administrative support for the White Marsh office in a variety of functional areas including Facility and Vendor Management, Supply Inventory, Equipment Maintenance, Administrative Invoices, Meeting Coordination, Human Resources and Talent Acquisition Support.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
  • Provides general administrative services to the White Marsh office with an emphasis on Facility Management, Human Resources and Talent Acquisition support.
  • Orders and restocks office supplies including kitchen, cleaning and maintenance supplies.
  • Maintains contract with office cleaning company and coordinates special services in accordance with the contract.
  • Monitors shipping supplies (UPS, USPS, FedEx, etc) and provides administrative support with regard to shipping and receiving.
  • Greets visitors and customers in the White Marsh location.
  • Receives and places service calls for building maintenance and upkeep.
  • Orders supplies and places service calls for on-site printers
  • Distributes mail and packages for the White Marsh office team.
  • Codes and submits routine billing and invoices for Human Resources, Employee Health and Safety, White Marsh office including research and review as needed.
  • Codes and submits legal bills and maintains vendor spreadsheet at the direction of Senior Counsel.
  • Provides administrative support for other administrative professionals in office (e.g. vacation coverage, special projects.)
  • Coordinates on and offsite meetings/functions including menu, audio/visual, room capacity, hotel and travel accommodation as needed.
  • Fields general White Marsh office and Human Resources calls.
  • Assists with ordering supplies and preparing offices for new employees.
  • Manages the monthly Employees Service awards program including verifying report data and sending to Synagro employees.
  • Provides assistance on special projects as needed

  • Ability to handle sensitive and confidential information and situations, and know how to appropriately use discretion.

  • Highly organized and able to create administrative processes to deliver consistent results
  • Ability to work in a fast-paced environment, process work rapidly, set priorities, work under pressure, and follow through with assigned tasks with limited supervision.

  • EDUCATION/EXPERIENCES



  • Minimum High School Diploma or equivalent (GED) required.
  • Two or more years working in an administrative atmosphere.
  • Expert knowledge and working experience using Microsoft Office Suite with an emphasis on Word, Excel and PowerPoint required.
  • Thorough knowledge of business English, spelling, and math.
